Privacy Policy
This policy explains, in plain English, what personal information Expat Paperwork ("I", "me") collects, why, and your rights over it. Expat Paperwork is a sole trader providing paperwork and bureaucracy support to English-speaking expats in Spain. If you have any questions, email expat-paperwork@outlook.com.
What I collect
- Contact & enquiry details you give me — your name, email, phone/WhatsApp number, and what you need help with — via my contact form, the free-checklist sign-up, a Facebook/Instagram lead form, WhatsApp, email or a booking.
- Booking details when you schedule a call (handled by Cal.com).
- Website usage data — basic, privacy-friendly analytics (see Cookies below).
How I use it
- To reply to your enquiry and provide the help you've asked for.
- To send you the free checklist and, if you've agreed, occasional helpful tips (you can unsubscribe at any time).
- To understand how the website is used so I can improve it.
Legal basis
I rely on your consent (e.g. signing up for the checklist or accepting analytics cookies) and on taking steps at your request / my legitimate interest in responding to enquiries and running a small business. You can withdraw consent at any time.
Cookies & analytics
I keep tracking to a minimum:
- Cloudflare Web Analytics — privacy-first and cookieless. It counts page visits without identifying you, and runs without needing consent.
- Microsoft Clarity — shows me anonymised click and scroll patterns to improve the site. It uses cookies, so it only loads if you click "Accept" on the cookie banner. You can change your choice any time via the Cookie settings link in the footer, or by clearing your browser data.
Facebook / Instagram lead forms
If you submit a lead form through one of my Facebook or Instagram ads, Meta passes me the details you entered (such as name and email) so I can follow up. Meta's own handling of your data is governed by their privacy policy.
Who I share it with
I don't sell your data. I use a small number of trusted service providers who process data on my behalf: Netlify (website hosting & form handling), Cloudflare and Microsoft Clarity (analytics), Cal.com (bookings), Microsoft/Outlook (email), and Meta (lead forms, if used). Where a matter legally needs a licensed professional, and only with your agreement, I may refer you to a gestor or lawyer.
How long I keep it
I keep enquiry and client details only as long as needed to help you and to meet any legal/accounting obligations, then delete them. You can ask me to delete your data sooner (see below).
Your rights
Under UK and EU (GDPR) data-protection law you have the right to access, correct, or delete your data, to object to or restrict its use, to data portability, and to withdraw consent. To exercise any of these, just email expat-paperwork@outlook.com. You also have the right to complain to a supervisory authority — the Spanish AEPD (aepd.es) or the UK ICO (ico.org.uk).
